New solution manages emails in SharePoint for greater business productivity
To paraphrase a well known saying; Outlook is Outlook, and SharePoint is SharePoint – and never the twain shall meet. Yet a new solution announced by collaboration provider harmon.ie aims to change this traditional setting.
The company is aiming, through what it calls a Digital Workforce Innovator, to utilise drag and drop functionality and keep everything efficiently in one place. The concept is simple. While plenty of emails sent are quick, single line affairs, in other cases business emails are documents in their own right. Yet documents such as approvals and contracts are stored in traditional repositories such as SharePoint.
The resulting logjam slows businesses down – and it is an avoidable time waster, according to harmon.ie CEO Yaacov Cohen. “The role of email in business is rapidly changing,” he said. “Emails hold increasingly crucial information but are increasingly more difficult to find and access when users really need them. Today’s information management challenges call for a unified email and document management approach.”
One customer who already approves of the arrangement is human resources provider Aon Hewitt. The nature of their work means various regulations and legislations need to be adhered to, and lost emails are more of a nightmare than usual. Though SharePoint is used by the company, approximately 90% of processes go through Outlook. Aon Hewitt business principal Dominic Makemson notes: “It enables us to empower our workforce working across regions and across boundaries, while providing an intuitive way for all of our users to find or store emails.”
The move ties in with other strategic directions harmon.ie is taking. The company also offers solutions which aim to connect the dots with Microsoft’s suite of collaboration products, such as Office 365, Yammer, and Skype for Business.
Joel Olesen, an Office 365 influencer and director of business development at Konica Minolta, said: “Having a solution that creates a single, easily searchable repository of traditional documents and emails is a powerful way for workers to add structure and streamline business without needing to work outside the tools they already use.”
